By booking with Ever Enchanted Entertainment, you agree to the following terms and conditions:
Booking and Payment
We will aim to respond to booking enquiries within 48h. A non-refundable deposit is required within 7 days of your confirmation email to secure your booking. Until the deposit is paid, your date cannot be reserved.
Your booking is only officially confirmed once the deposit and booking form have been received and a confirmation receipt issued, which will be issued within 48h.
The remaining balance is due no later than 24 hours before the event via bank transfer (BACs). If you opt to pay the remaining balance with cash, we expect payment to the chaperone before the event begins.
Invoices for events other than children’s birthday entertainment must be settled within 7 days of the invoice date. A 30-day grace period is permitted from the invoice date. If payment has not been received within this period, we reserve the right to apply a late payment fee of up to 40% of the outstanding balance.
Customer Information Accuracy
Clients must provide accurate and complete information on the booking form, including date, time, and venue address. Ever Enchanted Entertainment cannot be held liable for any errors or omissions made by the client. If incorrect details result in the inability to fulfil the booking, including necessary cancellations, no refund will be issued. We operate strictly based on the information provided. If you think you may have provided inaccurate information, let us know has soon as you can, and we will send another booking form to fill.
Cancellations and Rescheduling
We understand that plans can change. If you need to reschedule, we are happy to accommodate (subject to availability), and we will hold your deposit for up to 12 months from the original booking date.
Deposits are non-refundable. In the event of a full cancellation less than 24 hours prior to the event, only a partial refund will be given.
In the rare event that Ever Enchanted Entertainment has to cancel due to unforeseen circumstances, a full refund will be provided.
Entertainers and Characters
When your deposit is paid and confirmation is sent, Ever Enchanted Entertainment commits to providing a professional entertainer(s) for your chosen party or event.
In rare cases, due to illness or emergencies, your chosen entertainer or character may become unavailable. We will always try to provide a suitable replacement character or entertainer from our team.
In extreme circumstances where we are unable to fulfil your booking, we will recommend another trusted entertainment provider or issue a full refund.
Travel and Venue Requirements
For venues over 20 miles from our HQ (LE8 6JD), a travel fee of £0.45p per mile applies beyond this radius.
Each entertainer can safely and effectively entertain a maximum of 30 children. If more children are present without prior arrangement, a charge will apply per additional entertainer required.
Outdoor performances are weather-dependent. Our performers cannot perform on grass or uneven outdoor surfaces due to costume restrictions (heels, ball gowns, etc.). Outdoor parties must be held on a dry, flat, and solid surface, such as a patio. If weather conditions are unsuitable, the event must be moved indoors, or in suitable shelter i.e. gazebo.
Event Set-up
Please ensure the venue has enough space for our entertainers to set up and perform comfortably, and that a power supply is available if needed.
The party format, equipment used, and games played may be adjusted based on venue conditions, space, or number of children.
Health, Safety & Conduct
Venues must be smoke-free and free of loose pets during the performance.
Parking must be provided or arranged within close proximity to the venue. Clients are responsible for covering any parking fees.
Glitter tattoos and/or Face Painting (if part of your package) will depend on the number of children and duration of the party. If time does not permit, some activities may be excluded – this will be discussed with the client.
Additional Entertainment
If additional entertainment (e.g., external face painting, bouncy castles) is booked alongside Ever Enchanted Entertainment, please inform us prior to the party to ensure seamless coordination.
Piñata activities must be supervised by the responsible adult hosting the party.
Supervision
Our entertainers are responsible for performing and entertaining, but supervision of all children remains the responsibility of parents/guardians at all times.
If a child is left without a parent/guardian present, the responsibility falls on the adult in charge.
Behaviour Policy
We have a zero-tolerance policy for aggressive, threatening, or inappropriate behaviour towards our entertainers. In such cases, entertainers reserve the right to leave immediately without issuing a refund.
Pass the Parcel Prize Disclaimer
The pass the parcel prize included in our party packages has an approximate value of £2.
During events, Ever Enchanted Entertainment may take photographs and video recordings for marketing, promotional, training, and quality monitoring purposes.
On the booking form, the person making the booking is asked to select one of the following options regarding social media use:
• Yes – photos/videos may be used on Ever Enchanted Entertainment’s social media, website, and promotional materials
• Blurred Faces – photos/videos may be used but children’s faces will be obscured
• No – photos/videos of attendees will not be used on social media or promotional materials
Where the booking parent selects “Yes”, they confirm that they have obtained permission from the parents or guardians of all children attending the event for images or videos of their children to be used on Ever Enchanted Entertainment’s social media platforms or promotional content.
It is the sole responsibility of the person making the booking to ensure that all necessary permissions have been obtained from other parents or guardians prior to the event. If any parent or guardian does not consent, the booking parent must notify Ever Enchanted Entertainment in writing prior to the event so that reasonable steps can be taken.
Ever Enchanted Entertainment cannot reasonably obtain consent from each attending parent individually and therefore relies on the confirmation provided by the booking parent when completing the booking form.
Even where “No” is selected, photographs or video footage may still be captured for internal training, safeguarding, and quality monitoring purposes. Where “No” is selected, Ever Enchanted Entertainment retains the right to post images or videos containing only the performers, provided that no attendees or identifiable guests appear in the content.
